Representative Duties

Thank you for accepting the duties of the CTWGA representative. You are invaluable as a liaison between your club members, club management and the CTWGA organization. We'd like to highlight some of your duties, but please refer to your yearbook for further information.

Assist in the reading and interpreting of the Constitution, By-Laws, and General Rules of CTWGA.

Encourage players with a 26.4 index or lower to play in CTWGA. Please try to have someone from your club at each playday. If there is no representative from your club at the playday, you will find the information for the following playday and notices for representatives at our website at www.CTWGA.com We will no longer be mailing playday cards as done in the past.

Explain to all players the playday procedures as outlined in the CTWGA yearbook under General Rules. It is very important for each player to include her first name, handicap index, and club name on the bottom left corner of her check. Phone numbers with area codes must also be on the check. This information should not be on a separate piece of paper.

Explain to all your players the Priority System used by CTWGA. All entries received by Wednesday will be accepted unless oversubscribed. Then players with the most playdays will be given preference. The Priority List is reset after each Two Day Tournament. If a player does not get into a playday, and the player's correct check was received by Wednesday, the player is guaranteed a spot in the next playday providing her correct entry is received on time for that following playday.

Review the dress code of CTWGA, as described in the CTWGA yearbook under General Rules, with your eligible players. This dress code is a compilation of the various dress codes you will encounter at the hosting clubs.

On the tournament entry date, mail a complete handicap list of all your players (26.4) or less to the Tournament Chairperson. The handicap list must be a computer generated list from the Pro Shop. If the sheet is typed or hand written, it must be signed by your Pro. You don't have to indicate who is eligible or planning to play. Just send the entire list. You may mail this in the same envelope as your entry. It will help if you will indicate on the outside of the envelope that a handicap sheet is enclosed. Sending the list is very important. If you fail to send the list, your players will have to play gross only for that playday. Be sure to send the list in a timely manner.

On the Saturday or Sunday following the playday entry deadline, check on the website www.ctwga.com for the list of players in the playday and on the Waiting List, if any. On the days prior to playday, check the website often for updates or notices concerning the upcoming playday.

The final cancellation date for a player to have their entry fee returned (check shredded) will be the Thursday before the playday. This date will be indicated on the playday information card and on the website.

Assist the CTWGA President with setting a playday on your home course every 3-5 years, when requested. When your club is the host club, tournament instructions will be mailed to you. You must complete and return the requested information in a timely manner. Preparations include coordinating the event with your Pro Shop and Club Manager, making up a local rules sheet, obtaining volunteers to help with player check-in and scoring and to serve as marshals and spotters.
